Privacy Policy

1. Introduction
District Voice LLC ("we," "us," or "our") operates Voiced, a school district communications platform. This Privacy Policy explains how we collect, use, and protect your information when you use our Service.
2. Information We Collect
We collect the following types of information: Account information: Your name, email address, and password when you create an account. District information: Your district name, state, timezone, superintendent name, and community values that you provide in Settings. Calendar and event data: Events you import from your district calendar, including event names, dates, and descriptions. Communications content: Draft communications you generate, edit, and save using the Service. Voice profile: Writing samples you provide to train your district's voice profile (Pro subscribers only). Payment information: We do not store your payment card details. Payments are processed by Stripe, which has its own privacy policy. Usage data: How you interact with the Service, including pages visited and features used.
3. How We Use Your Information
We use your information to: • Provide, operate, and improve the Service. • Generate AI-assisted communications drafts based on your event data and voice profile. • Send you weekly digest emails summarizing your upcoming communications. • Process payments and manage your subscription. • Communicate with you about your account and the Service. • Comply with legal obligations.
4. Artificial Intelligence and Third-Party Services
Voiced uses Anthropic's Claude AI to generate communications drafts. When you use AI generation features, your event data, district name, and voice profile are sent to Anthropic's API to generate content. Anthropics's usage policies prohibit using your data to train their models without consent. We do not share your data with Anthropic for training purposes. We also use the following third-party services: • Supabase — database and authentication • Stripe — payment processing • Resend — transactional email delivery • Vercel — hosting and infrastructure Each of these services has its own privacy policy governing how they handle data.
5. Data Sharing
We do not sell your personal information. We do not share your data with third parties except: • With service providers listed above who help us operate the Service. • When required by law, court order, or governmental authority. • In connection with a merger, acquisition, or sale of assets, with notice to you.
6. Data Security
We implement industry-standard security measures including encrypted connections (HTTPS), secure database storage, and access controls. However, no system is completely secure. We encourage you to use a strong password and notify us immediately of any suspected unauthorized access.
7. Data Retention
We retain your data for as long as your account is active. Upon cancellation, we retain your data for 30 days to allow for data export. After 30 days, your data is permanently deleted. You may request immediate deletion of your account and data by emailing privacy@district-voice.com. We will process deletion requests within 5 business days.
8. Your Rights
You have the right to: • Access the personal information we hold about you. • Correct inaccurate information. • Request deletion of your data. • Export your data. • Opt out of non-essential communications. To exercise these rights, contact us at privacy@district-voice.com.
9. Cookies
We use minimal cookies necessary to operate the Service, including authentication tokens stored in your browser's local storage. We do not use tracking cookies or advertising cookies.
10. Children's Privacy
Voiced is designed for use by school district communications professionals. It is not intended for use by children under 13. We do not knowingly collect personal information from children under 13. Student data is not collected or processed by the Service.
11. FERPA Notice
Voiced is a tool for district communications staff and does not process student education records as defined by FERPA. The Service is used to draft communications about district events — not to store, access, or transmit student records. Districts are responsible for ensuring their use of the Service complies with applicable education privacy laws.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice in the Service. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
